  • Start with the Ceremony Time: Begin by setting the time of your ceremony. Everything else—like hair and makeup, first looks, and photos—will revolve around this key moment.
  • Plan for Preparation: Allow enough time for hair, makeup, and getting dressed. It’s better to have extra time than to feel rushed. We recommend starting early, especially if you have a large wedding party.  Check with your photographer – what time do they need to start photos?  Then talk to your hair and makeup team, how long will it take for each person?
  • Include Buffer Time: Build in some buffer time between events, like transportation or moving from one location to another. This way, minor delays won’t throw off your entire schedule.

  • Create a Vendor Contact List: Our Google planning document is a place to compile a list of all your vendors, including contact details and arrival times. We will use this list to share details with all of your vendors
  • Set Up a Pre-Wedding Meeting: Our final call or meeting will be scheduled for 2 weeks prior to your wedding day.  At this point we will review your day in detail – floor plan, timeline, menu, bar, vendors, decor etc.  This information will be shared with your vendor team so we are all on the same page!
  • Discuss Load-In and Load-Out Logistics: Our team will make sure that the vendors know where to park, load in, timeline etc.

3. Food and Beverage Timing

  • Cocktail Hour Planning: While you’re off taking photos, your guests will appreciate a well-timed cocktail hour. Our team is ready to ensure drinks and appetizers are served promptly as soon as the ceremony ends.  In addition our VIP server will make sure you and your new spouse(!) have nibbles and drinks while you are having photos taken.
  • Dinner Service: We will work with you to decide the best time to start dinner service. Consider factors like speeches and the flow of the evening. We recommend scheduling speeches between courses to keep things lively without disrupting the meal.
  • Cake Cutting and Dessert: Plan the cake cutting at a time that suits your event’s flow—typically after dinner but before the dance floor opens. We can help you find the perfect moment to transition smoothly.

  • Day-of Coordinator: Your Event Manager will coordinate your big day – timeline, vendors, bar and dinner! They can handle any issues that arise so you can focus on enjoying your day and we focus on ensuring everything goes off without a hitch.

  • Last Dance: Plan a special last dance to close out the evening. This can be a private moment for just the two of you or a fun, upbeat song with all your guests on the dance floor.
  • Vendor Wrap-Up: After the last song, our team works with your vendors to ensure a smooth breakdown and cleanup. We handle the logistics of packing up decor, equipment, and personal items so you don’t have to worry.
